This Privacy Policy explains how Industrial Services Group, Inc. DBA Universal Blastco uses Microsoft Copilot in Teams meetings and how it affects the privacy of meeting participants. The organization is committed to fostering a transparent and secure environment while using the benefits of AI to enhance productivity and collaboration.

 

2. Purpose of Using Copilot

Copilot is used in Teams meetings to:

  • Generate automated meeting summaries and notes.
  • Identify and track action items.
  • Improve meeting efficiency and effectiveness.

 

3. Data Collection and Usage

  • Information Collected: When Copilot is active during a Teams meeting, it may process meeting transcripts, summaries, and other insights generated by the AI. This data may include spoken content and potentially other information shared during the meeting.
  • Purpose of Collection: This information is collected and processed to fulfill the purposes outlined in Section 2, to enhance meeting productivity and provide valuable insights.
  • Data Handling by Microsoft: Microsoft’s handling of data within Microsoft 365 Copilot adheres to their existing privacy, security, and compliance commitments, including GDPR and the EU Data Boundary. Prompts, responses, and data accessed through Microsoft Graph are not used to train foundation large language models (LLMs). The content of your interactions with Copilot remains within the Microsoft 365 service boundary.

 

4. Consent and Notification

  • Transparency: Transparency is a priority regarding the use of Copilot in meetings.
  • Notification: Participants will be notified when Copilot is active within a Teams meeting.
  • Consent: When applicable, and in accordance with local legal requirements, explicit consent will be sought from all participants for the use of Copilot features, especially if recording or transcription is involved. In certain jurisdictions, the consent of all parties is required for recording conversations.

 

5. Data Security and Access

  • Security Measures: Reasonable security measures are employed to protect the information collected through Copilot in Teams meetings from unauthorized access, use, disclosure, alteration, or destruction.
  • Access Control: Access to meeting recordings and transcripts generated by Copilot will be restricted to authorized individuals with a legitimate business need to access this information. Strict access controls and role-based permissions are implemented to maintain confidentiality and prevent unauthorized access. Meeting organizers can manage who has access to recordings and transcripts.
  • Storage: Meeting recordings, transcripts, and AI-generated insights will be stored on secure servers and devices that are protected by passwords and encryption.
  • Third-Party Sharing: Information collected through Copilot in Teams meetings will not be shared with third parties, except as required by law or to comply with relevant terms of service and privacy statements.

 

6. Data Retention

Meeting recordings, transcripts, and AI-generated insights will be retained for a necessary period, adhering to the established data retention schedule and legal requirements. Information will be deleted when it is no longer required or upon your request, whichever comes first.

 

7. Participant Rights

Participants in meetings where Copilot is used have the right to:

  • Be informed about the use of AI tools.
  • Request copies of their personal data collected through Copilot.
  • Request deletion of their data, subject to legal and contractual obligations.
  • Raise concerns or questions regarding the use of Copilot and data privacy.

This Privacy Policy may be updated from time to time to reflect changes in practices or legal obligations. Review this policy periodically for any updates.
